Focus on resource settings

Objective of this page is to provide a comprehensive guide on resources settings with a specific focus on specific booking types  such as recurring or punctual appointments, events (ie multi-reservation resources)....

Create a resource

To create a new resource, please go to Reservations > Resources and click on "New resource" button at the top right corner of the page. 

General information



Name: name of the resource displayed to users making a reservation on your institution's page. This name will also be visible in the booking confirmation email. 

Type: resources are grouped by type so as to ease their discoverability by users on the website and mobile app. Custom types will appear in the dropdown list . 

Description: short text that will be displayed right below your resource's name. It's here to help users better understand the resource specifics.

Reservation Timetable


By default the newly created resource uses the same standard and exceptional opening hours as the institution. In order to associate a custom schedule to the resource you must uncheck the setting and enter manually the new schedule. 


Click on   to add a new opening and closing slot
Click on   to remove an opening and closing slot or to completely close the resource for a given day. 

Resource's schedule and granularity are two main factors impacting the number of slots available for booking
Exemples:
  1. For the same resource open on Monday 10am to 11am and Friday 10am to noon, if its granularity is 1 hour, then booking slots are the following: 
    1. On Monday : 1 slot will be available (10am-11am)
    2. On Friday: 2 slots will be available (10am-11am and 11am- noon)
  2. For the same resource open from Monday to Thursday  from 10am to 7pm, on Friday from 10am to 6pm & Saturday from 10am to noon, if its granularity is 3 hours, then booking slots are the following:
    1. From Monday to Thursday : 3 slots of 3 hours each will be available (10am-1pm, 1pm-4pm, 4pm-6pm).
    2. On Friday: 2 slots of 3 hours each  (10am-1pm, 1pm-4pm) and 1 slot of 2 hours (4pm-6pm) will be available. 
    3. On Saturday: 1 slot of 2 hours will be available (10am-noon)

Reservation settings


 
Mono reservation vs Multi reservation: by default mono-reservation is activated. It means that only one user can book a slot available independently from the resource capacity. If you want several users to be able to book the same resource for a same slot then you should select "Multi réservation"

Seats: it represent the capacity in terms of seats/people associated with the resource. Please note that in mono reservation a single user can book the resource independently from its capacity (ie it can be a single seat or a room with several seats...). It's possible to hide this information so that it does not appear for the public. 

Granularity: granularity is the minimum time for which a user should be able to book a resource. 

Maximum booking duration: it's the maximum number of consecutive slots a user should be able to book. It is represented in terms of duration and can be greater than or equal to the granularity. 

When multi reservation is activated, only the granularity is available

Advanced parameters

User information

Additional field: you can set a mandatory or optional field which will be displayed to users in the reservation form. It can be used to collect information for statistical purposes (please do not use this field to ask personal information)

Booking confirmation

This section enables to set a message and a redirection link that will be included in the booking confirmation email. 

Beware of not duplicating messages. If you already entered a message (and/or a link) in Reservations > Settings > Institution's parameters > Extra information. Both messages are included in the booking confirmation email. 
  1. Message entered in Reservation > Settings applies to all resources associated with your institution. Therefore, it is more suited for general information. 
  2. Message entered in Reservation > Resources only applies to a specific resource. Therefore, it is more suited for specific information associated with the resource. 

Additional parameters available on demand after resource creation

For specific situations, additional parameters can be added to your resources so that they completely fits your need. In order to activate those parameters please raise a request to the support team (support@affluences.com). Please include inside your request : your institution name, resource(s) that should be changed and the specific parameter and setting you want to use.

Let a single user book more than one seat/ticket for a multi reservation resource

For multi reservation resources several users can book a same resource for a same slots. Usually institution wants each user to be able to book only one seat/ticket for a given slot but some cases require users to be able to book more than one seat/ticket. For instance in case of an event, if a family wants to come, one user (usually a parent) should be able to book tickets for the whole family. 

Example: a family of 5 wants to book seats for an event. One member of the family will be able to select a slot and choose the number of people included in the reservation. 




Close reservations X hours before the slot starts

By default, a resource can be booked until then end of a given slot.

Example: a resource can be booked for 3 hours from 9am to noon. If still available a user can book the resource at 10:30am for the remaining 1h30. 

However, resources can be set up so as to close reservations: 
  1. As soon as the slot starts
  2. X minutes, hours or days before the slot starts. Example: a resource is available from 9am-1pm and 1pm-5pm with a 4 hours granularity. If close reservations is set at 12 hours, then users won't be able to book the 9am-1pm slots starting 9pm the day before. Similarly the 1pm-5pm slots will no longer be bookable starting 1am. 
Closing reservations in advance is never based on a specific hour. It is always based on a time delay before beginning of a slot.

Hide booking duration

It is possible to hide booking duration from the public. This parameter will no longer be visible in the reservation process as well as in the booking confirmation email.

Activate attendance validation setting

For some use cases institutions want to be able to control attendance so as to make sure users are effectively present for their reservation. In case of absence the reservation gets automatically cancelled. Delay associated with this automatic cancellation can be customized. 

There are several ways to control attendance. Do not hesitate to talk with the support team so as to clarify the process best suited to your needs.
