Setting up and using booking forms

To complete a resource booking, users must provide their email address and read and accept the terms and conditions of use.

However, it is possible to display additional fields to users in order to collect information for statistical purposes when booking. These fields can be mandatory or optional and are displayed when the user completes the booking. The answers are then available via the booking export.

There are several types of field. Some "generic" fields are available directly from the administration portal in the resource settings. Other "customisable" fields are only available on request from support.

Generic fields

Personal data fields

  1. Surname and first name: used to retrieve the user's surname and first name. 
                     






  1. Telephone number: used to retrieve the user's telephone number.
                   


These fields will be anonymised as part of the overall process of anonymising personal data provided for by the GDPR.

The generic additional field

  1. Additional field: allows users to ask a question with a free-text answer.
                   
Be careful not to ask for personal information in this field

How do I activate these fields? 

The generic fields can be accessed directly when setting up a resource in the advanced parameters. 


Customisable fields

It is possible to create a fully customised form containing more different types of fields to adapt to the variety of your situations! Each field name is fully customisable, and translations (French, English, Italian) can be provided so that the form adapts to the language selected by the user. 
  1. It should be noted that any additional information requested from users may discourage them from completing the booking process. We recommend using these forms only when it is deemed particularly useful.
  2. The purpose of these fields is to allow you to streamline your processes and to collect information for statistical purposes when making reservations. Do not use these fields to collect personal information. 

List of available field types

  1. Free text field: This field is used to ask a question with a free text answer for users. It is possible to add constraints on the size of answers in this field and to make it compulsory or optional.

  1. Number field: This field is used to ask a question that requires a numerical answer. The user can also choose the desired figure or number using the arrows to the right of the field. It is possible to add constraints to the numerical values in this field and make it compulsory or optional.

  1. Date & time field: This field allows users to enter a date (or a time or both) or to select it by clicking on the calendar to the right of the field. It is possible to add constraints to the date (or time) range that can be selected in this field, and to make it compulsory or optional.

  1. List field: This field allows users to choose an option from a list to indicate which category they fall into. The drop-down list appears by clicking on the arrow to the right of the field. The options available are fully configurable.


  1. Tick box field: This field allows users to tick boxes (in addition to the T&Cs). Each box can be made compulsory or optional.


How do I activate these fields?

These dynamic forms can be activated on request to the support team (support@affluences.com).
It is important to indicate :
  1. The name(s) of the site(s) and resources concerned by the request
  2. The name of the form to be added
  3. The names of the options, if any (List field)
  4. The order in which the fields appear on the website and application
  5. The constraints to be applied to each field (e.g. mandatory/optional)
